The position reports to the Head of School and supports the Assistant Head of School for Curriculum &
Instruction (AHoSC&I), the Assistant Head of School for Finance & Operations (AHoSF&O), the
Director of Diversity, Equity, Inclusion, & Belonging (DoDEIB), as well as the Chair of the Board of
Trustees. This is an in-person, full-time, exempt (salaried) 12-month position.
Responsibilities
The Executive Assistant to School Leadership (EASL) provides high-level administrative support,
organization, scheduling, coordination, research, and preparation for specific school leaders and the Chair
of the Board of Trustees. Additionally, the EASL oversees event planning of specific school events and
the all-school calendar. The position requires professionalism, diplomacy, patience, and confidentiality, as
well as the ability to manage multiple tasks simultaneously with flexibility, agility, determination, and
resolve. The EASL needs to communicate effectively and clearly, orally and in writing, with all school
constituents and collaborate with colleagues across all areas of the School. The EASL must be a trusted
partner to the Head of School, school leaders, and trustees, maintaining the highest levels of
confidentiality, integrity, and institutional positivity.
Responsibilities:
● Support the Head of School, Assistant Head of School for Curriculum & Instruction, the Assistant
Head of School for Finance & Operations, the Director of Diversity, Equity, Inclusion, &
Belonging, as well as the Chair of the Board of Trustees, under the supervision of the Head of
School
● Anticipate and support the needs of the Head of School, including but not limited to calendaring,
scheduling, event planning, logistics execution, and travel support
● Anticipate and support the needs of the AHoSC&I, AHoSF&O, and DoDEIB, including but not
limited to calendaring, scheduling, event planning, logistics execution, and travel support
● Anticipate and support the needs of the Chair of the Board as it pertains to calendaring and
scheduling board and committee meetings, and meetings with staff as needed
● Manage the School’s all-school calendar from draft to final version, including initial rollover,
space reservation, conflict identification and resolution, and holistic and strategic oversight of the
calendar in preparation, execution, and year-long maintenance.
● Coordinate planning for key school events in partnership with event leads. Events include, but are
not limited to, New Employee Orientation, Opening Meetings, DEIB Social Events, the
accreditation visit, the New Year Employee Celebration, Employee Appreciation Week, ERB
testing, the Departing Colleague Farewell Event, and Closing Meetings
● Serve as the lead receptionist of the School, fielding constituent inquiries and directing inquiries
to the correct individuals and/or offices of the School
● Supervise school receptionists, and collaborate and coordinate with executive assistants and
office managers across the School
● Partner with the Director of Stewardship as it relates to supporting board officers and the
execution of board events and tasks
● Coordinate hiring searches led by the Head of School, the Assistant Head of School for
Curriculum & Instruction, the Assistant Head of School for Finance & Operations, and the
Director of Diversity, Equity, Inclusion, & Belonging
● Perform other duties as assigned by the Head of School
Qualifications
Qualifications/Requirements:
● Five years of experience as an executive assistant or a similar role in a medium to large
organization.
● Demonstrated experience in a culturally diverse community, including diversity of race, ethnicity,
gender, socioeconomic status, language, family structure, sexual orientation, and gender identity
● Effective time-management skills with an ability to plan workflow, handle multiple tasks
simultaneously, and assume responsibility for completing projects
● Enjoys working with and being in the presence of children 4 to 14 years of age
● Demonstrated high proficiency with technology, including Google Apps, Veracross databases,
Blackbaud, and AI tools, and an interest in emerging technologies
● Ability and desire to thrive in a small, collegial, and busy school
● A positive approach to relationship building and management
● An optimistic and resolute approach to planning and task completion
● Outstanding written and verbal communication skills and excellent proofreading aptitude
● Gives and receives feedback constructively
● Sense of humor
Physical Requirements:
● Must be able to remain in a stationary position for prolonged periods of time.
● The ability to occasionally actively move about the office to access file cabinets and necessary
supplies.
● The ability to consistently operate a computer. Proficient or the ability to learn Google tools and
other school software.
● The ability to observe details at close range (within a few feet of the observer).
● The ability to deploy situational awareness to preserve the safety of students and community
members.
● The ability to think independently and collaborate in a team environment.
● The ability to maintain focus in an energetic and, at times, loud environment.
